Ask as

Which jobs actually made us money last quarter?

Water heater installs earned the most: 46% margin.

Drain cleaning was your busiest work, 1,137 jobs, but the least profitable at 25%. Raising the price or bundling it with an inspection is worth a look.

The catch

ChatGPT is only as good as your books. Most shops' books are a little wrong.

An invoice never marked paid. A payment counted twice. A job finished but never billed. Ask ChatGPT about numbers like that and you get a confident, wrong answer.

Your job software and your books each hold half the story, and neither can see when the other is wrong. So before we answer anything, we check them against each other, every night. Here's what that catches:

  • Paid in one system, open in the otherInvoices marked paid in your job software but still open in your books, or the reverse.
  • Payments counted twiceA payment that came over from your job software, then got recorded again from the bank deposit.
  • Deposits that don't match invoicesCard processing fees taken out before the money landed, so the numbers never tie.
  • Work finished but never billedJobs marked complete with no invoice behind them.
  • Callbacks hiding inside your marginsRepeat visits not tied to the original job, so that job looks more profitable than it was.

How it works

Bring it together. Keep it in sync. Put it to work.

It starts with an AI Assessment: one to two weeks to review your systems and data, confirm we can connect them, and suggest the AI tools worth building. Then One View, our service that runs it all in ChatGPT or Claude, does three things every day.

  1. 01Bring it together

Your job software knows your jobs but not your true costs. Your accounting software knows your costs but not your jobs. We connect them, read-only, into one view of the business.

  2. 02Keep it in sync

We check each system against the other every night and flag every place they disagree, in dollars. Your bookkeeper fixes it, and the next check confirms it.

  3. 03Put it to work

We build AI tools that give your owner, bookkeeper and operations team the answers each of them needs, right inside ChatGPT or Claude.

One View for your whole team

Everyone gets the answers they need. Nobody sees what they shouldn't.

One View becomes part of how your shop runs. You read the morning brief, your bookkeeper works the fix list, and your office looks up customers, all in ChatGPT or Claude.

Owner

SeesEverything.

  • “Which bids did we lose this month?”
  • “Which quotes never got a follow-up?”
  • “Where are we leaving money on the table?”

GetsThe morning brief, every weekday.

Bookkeeper or finance

SeesThe numbers and calculations you choose.

  • “What doesn't match between our systems?”
  • “What's our receivables aging?”
  • “What's our margin by job type?”

GetsA daily list of what to fix.

Operations

SeesCustomers and jobs. No profit or revenue.

  • “When did we last service the Ramirez house?”
  • “Who on tomorrow's schedule still owes us?”
  • “Any open quotes for this customer?”

GetsCustomer answers on the go.

You decide who sees what.

For the owner

Every weekday morning, a short brief

Your numbers update every night. Each weekday morning you get data health first, then what changed and the top things to act on, in dollars. Ask follow-up questions anytime in ChatGPT or Claude.

Data health2 to fix

Mostly clean. Two problems to fix before trusting profit numbers.

  • Customers match across your job software and your books
  • Payments from the last 30 days tie to bank deposits
  • 23 invoices never reached QuickBooks$18,979
  • 4 invoices have totals that don't match between systems4 invoices

Sent to your bookkeeper with the list. Profit by job type below excludes the affected jobs.

  1. 1
Call the 18 open quotes, starting with the two repipes$61,598

All are more than 14 days old with no response. Steady follow-up typically wins back a share of these.

  2. 2
Collect from the 12 late payers already on next week's schedule$38,818 late in total

75 invoices are more than 30 days late. 12 of those customers have a visit booked, so ask before the truck rolls.

Sample shop. Names and numbers are fictional.

Who you'll work with

A 20-year CTO, not a software vendor

I'm Jared Stauffer. I've spent 20 years building systems that move money and data at scale: a hosting company with more than 50,000 paying customers, payment clearing, and healthcare AI. I've founded and sold three technology businesses, and today I'm also fractional CTO of two AI software companies.

Making a small business's numbers trustworthy is the same problem at a smaller size. I do the work myself, based here in Phoenix, and I work alongside your bookkeeper, not instead of them.

What is One View?

One View is our service that brings your business systems together, keeps the numbers in sync, and runs AI tools built for your shop, right inside ChatGPT or Claude.

It's what you get after your AI Assessment. More about One View

Which systems do you work with?

Job software: Jobber, Housecall Pro, ServiceTitan, FieldEdge, Service Fusion, Workiz, FieldPulse, ServiceM8, Kickserv, Successware.

Accounting: QuickBooks Online, QuickBooks Desktop, Xero. QuickBooks Desktop connects through Intuit's Web Connector, a small tool installed on the computer that runs it. It has an extra setup fee.

Do we have to switch apps or install anything?

No. You keep your job software and your books exactly as they are, and we connect to them online. QuickBooks Desktop is the one exception: it needs a small Intuit connector on the computer that runs it.

Doesn't my job software already sync with my accounting?

Most do, one way. They send invoices and payments into your books, but costs entered there, like payroll and overhead, never come back. And the sync can't tell you when the two systems disagree. We check both against each other.

Can I control what my team sees?

Yes. Each person gets their own access. You see everything. Your bookkeeper sees the numbers you choose. Your operations team sees customers and jobs, but not profit or revenue. You decide who sees what, and you can change it anytime.

Can you change anything in my systems?

Not unless you allow it. One View is read-only. It never changes anything in your job software or your books until you flip the switch and allow it to, and you choose who can.

Over time, One View will be able to do things you ask, like schedule a visit or mark an invoice paid. Those actions stay off until you turn them on.
